Trust, Compliance & Accessibility Policy

Responsible business practices for customers, partners, and visitors worldwide

This policy explains the standards iCar Japan follows to promote ethical business conduct, lawful international transactions, secure payments, responsible customer verification, sanctions compliance, data protection, and accessible digital services. It applies to our website, customer communications, vehicle purchasing services, payment coordination, and international vehicle-export activities.

Updated July 2026
TRUST THROUGH RESPONSIBILITY

Clear standards for secure and ethical international vehicle transactions

iCar Japan is committed to protecting customers and business partners through transparent communication, verified payment procedures, lawful trade practices, responsible recordkeeping, and fair access to our services.

Ethical Operations We aim to communicate honestly, maintain accurate records, and avoid misleading or unfair business practices.
Secure Transactions Payments, customer verification, and export documentation are handled through defined procedures designed to reduce fraud and error.
Inclusive Access We work to make our website and customer-support channels usable by people with different abilities, devices, and communication needs.
01

Trust & Ethical Business

Our business relationships are built on transparency, lawful conduct, professional communication, and respect for customers and partners.

Honest Communication

We aim to provide accurate descriptions of vehicles, services, invoices, shipment arrangements, payment requirements, and available documentation. Information may be based on auction sheets, inspection records, supplier disclosures, photographs, and third-party logistics updates.

Fair Treatment

Customers, suppliers, transporters, agents, and other partners are expected to be treated professionally and without unfair discrimination, harassment, intimidation, or deceptive pressure.

Conflicts of Interest

Employees and representatives should avoid undisclosed personal interests that could improperly influence vehicle selection, purchasing, pricing, vendor decisions, payment handling, or customer support.

Responsible Recordkeeping

We may retain transaction, identity, payment, invoice, shipment, vehicle, and communication records for operational, accounting, legal, compliance, dispute-resolution, and fraud-prevention purposes.

Joint-Venture Payment Responsibility

iCar Japan and TMT Corporation operate as a joint venture. TMT Corporation handles payment and banking activities from the Japan side. Customers must follow the payment instructions shown on the official invoice and verify beneficiary details before transferring funds.

02

AML, KYC & Sanctions Compliance

We may conduct customer and transaction checks to comply with applicable anti-money-laundering, customer-identification, trade-control, and sanctions requirements.

Customer Identification

We may request identification documents, company registration information, address details, contact information, tax or business records, beneficial-owner information, or other supporting documents before processing a transaction.

Payment-Source Verification

When the payer's name differs from the customer's or consignee's name, additional verification may be required, including payer identification, written authorization, an acknowledgement letter, and evidence explaining the relationship between the parties.

Sanctions & Restricted Parties

We may screen customers, payers, beneficiaries, consignees, destinations, vessels, banks, and business partners against applicable sanctions, restricted-party, export-control, and high-risk-country requirements.

Transaction Review

A transaction may be delayed, declined, suspended, or cancelled when information is incomplete, inconsistent, suspicious, legally restricted, or when required verification cannot be completed.

Information We May Request

Verification Area Possible Supporting Information
Individual Customer Passport, national ID, address, phone number, email address, and proof of payment.
Business Customer Company registration, business address, authorized representative details, ownership information, and tax or licensing records.
Third-Party Payment Payer ID, customer authorization, relationship explanation, acknowledgement letter, and transfer receipt.
Shipping & Consignee Consignee name, destination, contact details, import documentation, and other information required by carriers or authorities.
Providing requested verification documents does not guarantee that a transaction will be accepted. We may take reasonable steps required by law, banking partners, carriers, insurers, ports, customs authorities, or internal risk controls.
03

Anti-Fraud & Secure Payments

Customers should carefully verify all payment instructions and contact us immediately if they receive suspicious messages or unexpected bank-detail changes.

Official Payment Instructions

Payments should be made only to the beneficiary account stated on an official iCar Japan or TMT Corporation invoice. Customers should not rely on payment instructions sent through unofficial accounts or unverified third parties.

Invoice Matching

Each payment should clearly reference the relevant invoice number. When multiple invoices are issued, customers may be required to make separate payments so that the accounts team can correctly identify and allocate funds.

Suspicious Communications

Be cautious of urgent requests to change bank details, transfer funds to an unfamiliar account, disclose passwords, share one-time codes, or bypass normal invoice procedures.

Reporting Fraud

Suspected fraud, impersonation, phishing, unauthorized payment instructions, altered invoices, or account compromise should be reported immediately to info@icarjapan.com.

Important Payment Safety Notice

iCar Japan will not ask customers to send money to a personal account through an informal message. Before paying, verify the invoice number, beneficiary name, bank information, vehicle details, and payable amount. Where anything appears unusual, stop the transfer and confirm directly with our team.

04

Accessibility & Equal Access

We are committed to improving the usability of our website and services for visitors with different abilities, technologies, languages, and communication needs.

Accessible Website Experience

We aim to use clear headings, readable text, logical navigation, meaningful labels, keyboard-friendly controls, sufficient contrast, and responsive layouts across desktop and mobile devices.

Alternative Assistance

When information is difficult to access online, customers may request reasonable assistance through email or another available communication channel. We will make reasonable efforts to provide the same information in a usable format.

Continuous Improvement

Accessibility is an ongoing process. We may review website pages, forms, images, documents, and customer-support workflows and make improvements as technology, standards, and user needs evolve.

Third-Party Content

Some services, documents, maps, payment systems, social-media tools, or external links may be provided by third parties. Their accessibility is controlled by those providers, although we welcome reports of barriers affecting our users.

Accessibility Feedback

To report an accessibility issue, include the page or feature involved, the problem encountered, the device or browser used, and the type of assistance required. Contact us at info@icarjapan.com.
