Rules and responsibilities for vehicle inspection, purchase, payment, reservation, export, and delivery

This Vehicle Purchase & Service Policy explains how iCar Japan handles vehicle inspection, quotations, reservations, auction purchases, payment, export preparation, shipping, and customer responsibilities. It applies together with our Terms & Conditions, Shipping Policy, Refund & Cancellation Policy, Privacy Policy, and Disclaimer.

Pre-Owned Vehicles Most vehicles are sold as used vehicles and may show wear based on age, mileage, and prior use.

Binding Purchases Auction wins and confirmed purchases may become final and non-cancellable once completed.

Import Compliance The buyer must verify local import eligibility, taxes, registration, and technical requirements.

Vehicle Inspection Policy

iCar Japan aims to provide reasonable and available information about each vehicle before shipment. Inspection scope may vary depending on vehicle location, seller access, auction conditions, and service selected.

Visual Inspection

Where practical, the vehicle may be checked for visible body damage, paint condition, glass, lamps, interior condition, tires, and obvious missing parts.

Basic Functional Check

Available checks may include engine start, warning lamps, basic electrical functions, transmission engagement, air conditioning, and general running condition.

Auction Sheet Review

For auction vehicles, available auction sheets, grades, diagrams, remarks, mileage records, and condition reports may be reviewed and shared where permitted.

Inspection Limitations

Inspection is not equivalent to dismantling, laboratory testing, manufacturer diagnosis, or a complete mechanical warranty. Hidden or intermittent faults may remain undetected.

Photos and Videos

Photos or videos may be provided as supporting information. Lighting, angle, resolution, weather, and screen settings may affect appearance.

Customer-Requested Checks

Additional inspections may be arranged where possible and may involve extra fees, delay, or third-party service providers.

Used Vehicle Condition Notice

Used vehicles may have scratches, dents, stains, corrosion, worn parts, previous repairs, replaced panels, fading, odors, battery weakness, tire wear, rubber deterioration, or other age-related conditions. Such conditions do not automatically constitute a defect or misrepresentation.

Warranty Policy

Unless a written warranty is expressly included in the invoice or sales agreement, vehicles are sold on an “AS IS, WHERE IS” basis to the fullest extent permitted by law.

AS IS, WHERE IS

The buyer accepts the vehicle in its current condition at the location stated, subject to the information reasonably available before purchase.

No Automatic Manufacturer Warranty

Manufacturer warranty coverage is not included unless specifically confirmed in writing and valid for the destination country.

No Future Performance Guarantee

We cannot guarantee future mechanical performance, fuel economy, lifespan, or freedom from breakdown after delivery.

Wear-and-Tear Items

Batteries, tires, brakes, belts, hoses, seals, bulbs, fluids, filters, suspension parts, rubber components, and similar items may require replacement.

Electronics and Accessories

Navigation, audio, cameras, sensors, keys, remote controls, hybrid battery condition, and electronic accessories may have limited or no warranty.

Optional Warranty

If an optional warranty or third-party protection plan is available, its separate terms, exclusions, territory, claim process, and time limits will apply.

Mandatory Rights

Nothing in this policy removes rights that cannot legally be excluded. Any written warranty provided by iCar Japan will control over inconsistent general language in this section.

Payment Policy

All payment instructions must be followed exactly. A vehicle is not fully secured, purchased, released, or shipped until the required payment has been received and confirmed.

Accepted Payment Methods

Unless otherwise approved, payment must be made by bank transfer or telegraphic transfer to the bank account shown on the official invoice.

Payment Deadlines

Deposits, purchase balances, freight, and other charges must be paid by the deadline stated in the quotation, invoice, reservation, or written notice.

Bank Charges

All sending-bank, intermediary-bank, receiving-bank, foreign exchange, and transfer charges are the buyer’s responsibility unless otherwise agreed.

Exchange Rates

Currency conversions may be based on the rate used at quotation or invoice time. Exchange-rate changes may affect revised quotations, balances, or additional charges.

Separate Invoice Payments

Where separate invoices are issued, the buyer should pay each invoice separately and clearly include the correct invoice number on the transfer receipt.

Payer Verification

If the payer name differs from the customer or consignee name, identification or additional verification may be required before funds are applied.

Short Payments

If bank deductions or exchange differences cause a shortfall, the buyer must pay the remaining balance before release or shipment.

Late or Failed Payment

Late payment may result in reservation expiry, cancellation, storage fees, shipping delay, vehicle resale, or forfeiture of applicable non-refundable charges.

Payment Confirmation

A transfer receipt does not itself prove final receipt of cleared funds. Payment is considered complete only when the correct amount is credited to the designated account and matched to the correct invoice or transaction.

Import Responsibility

The buyer is responsible for confirming that the vehicle is legally importable, registrable, and usable in the destination country before purchase.

Import Eligibility

The buyer must verify age limits, steering position, engine size, emissions, roadworthiness, safety, and vehicle-category restrictions.

Customs and Taxes

The buyer is responsible for customs duty, VAT, import taxes, port charges, clearance fees, inspection fees, penalties, and local delivery costs.

Registration Requirements

Local registration, inspection, modification, certification, insurance, and licensing requirements are the buyer’s responsibility.

Consignee Information

The buyer must provide accurate consignee, notify-party, address, identification, and contact information by the required deadline.

Restricted or Prohibited Vehicles

iCar Japan may refuse a transaction where export or import restrictions, sanctions, safety issues, or documentation concerns are identified.

Changes in Law

Import rules may change after purchase. Unless otherwise required by law, resulting delay, refusal, modification, or additional cost remains the buyer’s responsibility.

Rejected Import or Registration

iCar Japan is not responsible for rejection, seizure, storage, re-export, destruction, penalties, or inability to register a vehicle where the buyer failed to confirm destination requirements or where laws changed outside our reasonable control.

Auction Purchase Terms

Auction bidding is a binding purchasing service. The customer must review the vehicle, budget, and bid request carefully before authorization.

Bid Request Deadline

Bid requests must be submitted before the deadline communicated by iCar Japan. Late requests may not be accepted or condition-checked.

Customer Authorization

By submitting or approving a bid, the customer authorizes iCar Japan to purchase the selected vehicle up to the confirmed limit.

Winning Bid Is Final

Once a vehicle is successfully purchased at auction, the transaction is generally final, binding, and non-cancellable.

Bid Mistakes

The customer is responsible for confirming chassis, model, year, grade, condition, and maximum bid. Customer bidding mistakes do not cancel a completed purchase.

Deposits and Purchasing Limits

A deposit or approved credit limit may be required before bidding. iCar Japan may refuse bids exceeding available funds or approved limits.

Auction and Related Fees

Auction fees, inland transport, yard, inspection, repair, document, storage, and export charges may apply in addition to the winning price.

Condition Information

Auction sheets and inspector remarks are third-party information. Hidden defects, translation differences, and condition changes may occur.

Unsuccessful Bids

If a bid is unsuccessful, no vehicle purchase occurs. Any unused deposit may remain as account credit or be handled under the applicable refund terms.

Non-Refundable Purchase Commitment

After a successful auction purchase, deposits and payments may become non-refundable because iCar Japan becomes legally or commercially committed to the auction house, seller, transporters, yards, and export service providers.

Reservation Policy

A reservation temporarily removes a vehicle from normal sale, subject to payment, verification, and the stated reservation period.

Reservation Period

Unless otherwise stated in writing, a standard reservation remains valid for up to four calendar days from confirmation.

Deposit Requirement

iCar Japan may require a deposit or full payment before confirming a reservation, depending on the vehicle and transaction type.

Reservation Expiry

If the required payment is not received by the deadline, the reservation may expire automatically without further notice.

Return to Sale

After expiry or cancellation, iCar Japan may offer the vehicle to another customer and is not required to hold the original price or availability.

Reservation Cancellation

Cancellation eligibility depends on the transaction stage, costs already incurred, and the Refund & Cancellation Policy.

Multiple Reservations

iCar Japan may limit the number of simultaneous reservations and may request additional deposits for multiple vehicles.

Price Changes

A confirmed reservation preserves the stated price only for the stated period and only if all required payment conditions are met.

Identity and Compliance Checks

A reservation may be suspended or cancelled if identity, payment source, sanctions, fraud, or compliance concerns arise.

Reservation Does Not Equal Ownership

A reservation gives temporary purchase priority but does not transfer ownership. Ownership or title passes only according to the invoice, sales agreement, payment status, and applicable law.

Export Procedure

The following process describes the typical journey from initial inquiry to destination delivery. Actual steps may vary depending on vehicle type, auction status, port, destination, carrier, and customer requirements.

03QuotationiCar Japan issues a quotation or invoice showing applicable charges.

04ReservationThe vehicle is temporarily held subject to deposit and deadline.

05PaymentThe customer pays the required deposit, purchase amount, or balance.

06PurchaseThe stock sale is completed or the vehicle is purchased at auction.

07InspectionAvailable inspection, photos, checks, and customer-approved work are completed.

08Inland TransportThe vehicle is transported to the export yard or loading location.

09Export DocumentsRequired export, customs, deregistration, and shipping documents are prepared.

10Shipping BookingRORO or container space is requested and confirmed subject to carrier availability.

11ShipmentThe vehicle is loaded and departs according to the carrier’s updated schedule.

12Documents ReleaseThe Bill of Lading and applicable documents are released after payment and processing.

13ArrivalThe vessel arrives at the destination port, subject to schedule changes.

14Customs ClearanceThe buyer or local agent completes import clearance and pays destination charges.

15Collection or DeliveryThe buyer arranges collection, local transport, registration, and final delivery.

Shipping Method

Vehicles may be shipped by RORO or container depending on destination, vehicle condition, route, cost, and carrier acceptance.

Schedule Changes

ETD, ETA, transshipment, vessel, port, and booking status are estimates and may change due to carrier or operational decisions.

Document Release

Original or electronic shipping documents may be withheld until all required payments and verification procedures are completed.

Destination Delivery

Unless expressly included, iCar Japan’s service ends at the agreed port or delivery point, and local clearance and transport remain the buyer’s responsibility.

Communication Responsibility

Customers must provide accurate contact details, monitor messages, respond promptly to document requests, and inform iCar Japan immediately of any consignee, address, payment, or import-related changes.
